Question 1. How long should agencies keep files of intern applicants
not selected?
One of the questions received at Central Office was how long
should agencies keep files of intern applicants not selected.
Several considerations seem relevant.
- APA recommends keeping all applicant folders past [Match]
day and then shredding folders of all but the [matched] interns.
- Some agencies and their larger institutions consider intern
candidates as job applicants. They may have institutional policies
about retention periods (for applicant folders) that are longer
than [Match day].
- Many agencies are subject to EEO Guidelines and local, state
and federal regulations. Specifics vary by setting depending
on state and federal affiliations and specific applicability
of regulations.
Obviously, each agency needs to check their institutional guidelines
and develop a policy based on the specific circumstances and preferences
unique to their situation. In any case, we recommend shredding
"old" applications, as they usually contain confidential information,
recommendation letters and ranking/rating notes.
